Description

  • Manage the Managing Director’s calendar, appointments, travel arrangements, and deadline tracking.
  • Screen and prioritise emails, calls, and other correspondence.
  • Prepare meeting agendas, notes, follow-up actions, and internal and external communications in coordination with the Office Manager.
  • Support HR administration tasks, including contracts and onboarding processes.
  • Coordinate with external service providers such as accountants, IT specialists, designers, photographers, and SEO consultants.
  • Develop and update social media content across LinkedIn and Instagram.
  • Create newsletters and website content, and maintain brand consistency across all materials and touchpoints.
  • Maintain and update the client and referral database within the CRM.
  • Support relationship management, business development initiatives, events, and sponsorship coordination.
  • Track marketing budgets, invoices, and calendar deadlines.

Requirements

  • Proven experience as an Executive Assistant or Personal Assistant.
  • Advanced proficiency in Microsoft Office programs.
  • Exceptional written and verbal communication skills.
  • Strong organisational skills with the ability to manage competing priorities.
  • A proactive and committed approach to delivering high-quality work.
  • Ability to build strong professional relationships and fit into a friendly team culture.
  • A degree or diploma in Marketing (nice to have).
  • Prior experience working within a law firm (nice to have).
  • Experience using Smokeball or similar legal practice management software (nice to have).
  • Familiarity with CRM systems and social media management for professional platforms (nice to have).
