Description

  • Manage the monthly billing cycle, including client invoicing, accounts receivable follow-up, and billing records maintenance.
  • Process bi-weekly contractor payments and support monthly vendor payments and reconciliation.
  • Support quarterly accounting review by organizing and categorizing transactions.
  • Maintain MRR documentation and billing records in Airtable.
  • Process payroll actions and benefits updates, and support HR-related questions from team members.
  • Coordinate team engagement logistics such as birthday gifts, events, and client gifts.
  • Triage incoming NDAs, MSAs, vendor agreements, and route items for leadership review and signature.
  • Complete vendor onboarding forms, including W-9s, insurance certificates, and banking details.
  • Maintain SOC 2 compliance tasks in Vanta and flag open tests or remediation items.
  • Serve as the day-to-day operational point of contact for the team during the leave period.

Requirements

  • 2+ years of experience in operations, office management, or a generalist business role.
  • Strong organizational skills and high attention to detail.
  • Ability to work independently with minimal hand-holding and learn from documentation.
  • Solution-oriented mindset with the ability to propose fixes, not just surface problems.
  • Experience with invoicing and billing workflows, such as Stripe or similar tools.
  • Familiarity with payroll and contractor payment platforms such as Justworks, Deel, Gusto, or similar.
  • Proficiency with Google Workspace and project management tools such as Asana or similar.
  • Strong written and verbal communication skills.
  • Based in EST.
  • Experience at a startup or small company where multiple hats were required (preferred).
  • Familiarity with compliance or security frameworks such as SOC 2 or Vanta (preferred).
  • Experience with Airtable, Notion, Ramp, or QuickBooks (preferred).
  • Background in HR coordination or people operations (preferred).
  • Prior experience in a temporary or contract role requiring a fast ramp-up (preferred).
  • This is a temporary full-time engagement of approximately 4-5 months.
