Description

  • Develop, manage, and optimize schedules for 600+ EMT team members to ensure coverage and compliance.
  • Monitor EMT certification statuses and track renewals and expirations to maintain regulatory compliance.
  • Process PTO requests, shift pickups, and shift swap requests while balancing business needs and team satisfaction.
  • Administer attendance monitoring, maintain records, and escalate recurring patterns according to HR and Operations guidelines.
  • Act as a liaison between Operations and HR on scheduling, attendance, PTO, and related cross-functional initiatives.
  • Coordinate staffing for special events and urgent ad hoc scheduling requests.
  • Manage scheduling logistics for the New Hire Academy and support onboarding activities.
  • Respond to scheduling requests with a solution-oriented approach to meet operational needs.
  • Use Excel and workforce management or scheduling systems to improve efficiency, accuracy, and reporting.

Requirements

  • 3+ years of experience in scheduling, workforce coordination, or operations support in a high-volume environment.
  • Experience managing complex schedules for large teams of 100+ staff.
  • Advanced Microsoft Excel skills, including formulas, pivot tables, and data management.
  • Experience using workforce management or healthcare-related scheduling platforms.
  • Business-fluent English proficiency.
  • Experience acting as a liaison between Operations and HR on scheduling, attendance, and PTO matters.
  • Availability during Pacific Time (PT) business hours, with after-hours support as operational needs arise.
  • Experience supporting scheduling or operations in healthcare, emergency services, or other regulated environments (preferred).
  • Experience tracking certifications and compliance items for a workforce (preferred).
  • Experience supporting scheduling logistics for onboarding or new-hire programs (preferred).
