Description

  • Serve as the primary operational contact for buyers, vendors, and internal teams across shared inboxes and communication channels.
  • Respond to incoming communications within the same business day and prioritize issues based on operational impact.
  • Resolve standard operational issues directly before escalating and provide complete context when escalation is necessary.
  • Monitor active orders from confirmation through delivery and maintain accurate system records and fulfillment tracking.
  • Coordinate between buyers and vendors to address discrepancies in quantities, substitutions, timelines, pricing, invoices, and commitments.
  • Oversee event operations and logistics from planning through completion, including schedules, materials, vendor readiness, and stakeholder communication.
  • Guide buyers and vendors through onboarding from initiation to activation and ensure milestones are completed on schedule.
  • Track responsibilities, dependencies, timelines, and outstanding requirements across stakeholders using operational systems and workflows.
  • Identify process breakdowns, risks, bottlenecks, and recurring issues, then implement practical solutions and report them clearly.
  • Deliver organized daily operational updates and recaps with outstanding issues, escalations, risks, and follow-up items.

Requirements

  • Demonstrated experience in operations management, customer service leadership, supply chain coordination, project management, or a similar execution-focused role.
  • Strong English communication skills and the ability to remain professional under pressure.
  • Proven ability to resolve operational issues independently before escalating.
  • Exceptional attention to detail in documentation, order management, and system maintenance.
  • Comfortable working in dynamic environments where priorities and circumstances change frequently.
  • Strong action-oriented mindset with the ability to make progress without waiting for direction.
  • Ability to remain organized, composed, and solutions-focused during operational challenges.
  • Comfortable participating in video meetings and maintaining clear verbal communication in a remote environment.
  • Must be based in the Philippines.
  • Availability during US-aligned working hours required.
  • Experience with Google Workspace, Slack, Airtable, and CRM or internal operational systems is required or preferred.
