Description

  • Coordinate and facilitate governance and operational meetings, including logistics, agendas, documentation, and follow-through.
  • Provide administrative support for labor-management activities and maintain confidential labor-relations records and communications.
  • Prepare presentations, logistics, speakers, and documentation for organizational meetings.
  • Serve as meeting host by managing technical setup, attendee experience, and interactive virtual meeting features.
  • Develop, document, and improve administrative systems, policies, procedures, workflows, and operating practices.
  • Own recurring internal communication channels such as newsletters and distribute communications through Slack, email, intranet, and announcements.
  • Manage and continuously improve the organization’s intranet and maintain communication templates and brand-compliant materials.
  • Serve as a liaison to vendors, including IT, and manage systems, tools, licenses, access, and inventory tracking.
  • Lead projects to improve cybersecurity, IT processes, system utilization, and staff training related to technology and security.
  • Support planning and execution of events, retreats, and convenings, including logistics, vendors, budgets, and stakeholder coordination.
  • Oversee records management, document retention, archiving, and information management practices across the organization.

Requirements

  • 5+ years of progressive experience in administration, business or organizational operations, or a related function.
  • Strong project management skills with the ability to manage multiple initiatives, coordinate stakeholders, and drive completion independently.
  • Exceptionally organized and detail-oriented, with the ability to balance daily execution and longer-term planning.
  • Highly proficient with Google Workspace, Zoom, project management software, and intranet or knowledge-base platforms.
  • Experience developing, implementing, and improving administrative processes, systems, workflows, or operational procedures.
  • Experience managing organizational systems, records, documentation, and information resources with accuracy, accessibility, and compliance.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Experience partnering effectively with internal and external stakeholders to achieve objectives and resolve operational challenges.
  • Ability to analyze operational issues, identify root causes, and recommend practical solutions.
  • Demonstrated ability to handle sensitive organizational information with confidentiality and professionalism.
  • Experience managing vendor relationships, software subscriptions, licenses, or administrative systems is preferred.
  • Experience with records management, knowledge management, retreats, offsites, conferences, or large-scale events is preferred.
  • Experience in a digital-first, fast-paced, or start-up organization is preferred.
  • U.S. work authorization is required.
