Description

  • Manage calendars and schedule meetings using Google Calendar and Microsoft Outlook.
  • Draft and send emails, memos, documents, and meeting notes, and track follow-ups.
  • Maintain records in spreadsheets, CRMs, and project management tools.
  • Organize and manage files in Google Drive, Dropbox, Microsoft SharePoint, and similar systems.
  • Conduct online research on competitors, vendors, and market insights, and turn findings into summaries or presentations.
  • Support customer and vendor communication, including routing inquiries and following up on outstanding tasks.
  • Assist with invoicing, expense tracking, light bookkeeping, and other operational tasks as needed.
  • Update and maintain project tools such as Asana, Trello, Notion, and Monday.com.
  • Handle ad hoc tasks, small projects, and daily operational support for clients and internal stakeholders.

Requirements

  • 1–2 years of experience in virtual assistant, administrative support, or remote operations roles.
  • Proficiency with Google Workspace and Microsoft Office.
  • Strong time management and organizational skills.
  • Ability to work independently with minimal supervision.
  • Reliable internet connection and a suitable remote work setup.
  • Comfortable learning new tools quickly and adapting to different workflows.
  • Strong written and verbal communication skills.
  • Experience with CRMs such as HubSpot, Salesforce, or Zoho CRM is preferred.
  • Familiarity with bookkeeping tools such as QuickBooks or Xero is preferred.
  • Experience supporting startups, entrepreneurs, remote teams, or multiple clients/executives is preferred.
