Description

  • Maintain accurate CRM records for leads, contacts, deals, and opportunities, and keep pipeline stages and activity tracking up to date.
  • Clean up duplicate, incomplete, or outdated CRM records to support strong CRM hygiene and sales process organization.
  • Schedule sales calls, demos, follow-ups, and internal meetings across multiple time zones.
  • Coordinate calendars, reminders, confirmations, and schedule changes using tools like Google Calendar, Outlook, and Calendly.
  • Prepare sales teams for meetings by organizing the right materials in advance.
  • Draft, format, proofread, and organize proposals, quotes, presentations, and sales collateral.
  • Support RFP/RFI preparation, template management, and storage of contracts and sales documentation.
  • Generate weekly and monthly sales reports, pipeline summaries, dashboards, and KPI tracking updates.
  • Assist with sales forecasting and other operational reporting support for leadership visibility.
  • Draft follow-up emails, meeting recaps, reminders, and other client communications while coordinating with marketing, finance, operations, and sales teams.

Requirements

  • 1–2 years of experience in sales support, administrative support, or operations roles.
  • Familiarity with CRM systems such as HubSpot, Salesforce, Zoho, or Pipedrive.
  • Strong proficiency with Google Workspace or Microsoft Office.
  • Excellent written communication and organizational skills.
  • Experience coordinating schedules, meetings, and follow-ups.
  • Strong multitasking and prioritization abilities.
  • Experience supporting B2B sales teams or Account Executives is preferred.
  • Familiarity with proposal preparation and sales collateral creation is preferred.
  • Experience with lead generation or SDR/BDR workflows is preferred.
  • Basic reporting or spreadsheet analysis experience, including Pivot Tables, dashboards, or KPI tracking, is preferred.
