Description

  • Track workflows across Finance, HR, Customer Service, Operations, Logistics, and IT to keep tasks aligned and on schedule.
  • Monitor task progress, identify bottlenecks, and escalate operational risks or delays when needed.
  • Maintain operational dashboards and reporting systems, including weekly reports and monthly KPI summaries.
  • Track and analyze metrics such as productivity, utilization, workflow completion, and operational efficiency.
  • Maintain and update SOPs, process maps, operational checklists, and compliance documentation.
  • Organize digital files and records in tools such as Google Drive, SharePoint, Notion, or similar systems.
  • Communicate with vendors and external partners about deliverables, timelines, invoices, service updates, and approvals.
  • Coordinate recurring workflows and operational initiatives across teams and follow up on deadlines and deliverables.
  • Support leadership with operational research, reporting, analysis, and ad hoc initiatives.
  • Maintain logs, records, and tracking systems to support compliance and audit readiness.

Requirements

  • 2+ years of experience in operations, coordination, business support, or administrative operations roles.
  • Strong proficiency with Microsoft Office, Google Workspace, and spreadsheet management.
  • Experience with operational systems such as Salesforce, HubSpot, NetSuite, or similar platforms.
  • Strong Excel or Google Sheets skills, including pivot tables, dashboards, KPI tracking, and reporting.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Experience with process improvement methods such as Lean, Six Sigma, or Kaizen is preferred.
  • Experience creating and maintaining SOPs is preferred.
  • Familiarity with Power BI, Tableau, or Looker is preferred.
  • Experience supporting SaaS, logistics, service-based, or professional services businesses is preferred.
