Description

  • Manage inbound client inquiries, prioritize urgent requests, and send professional updates and follow-ups.
  • Coordinate communication between clients, contractors, vendors, and leadership to keep projects moving smoothly.
  • Track deliverables, deadlines, and project progress across active contractor and client work.
  • Maintain CRM records and workflows in GoHighLevel, ensuring data, pipelines, notes, and follow-ups stay accurate and organized.
  • Support onboarding workflows and other operational setup processes.
  • Manage calendars, scheduling, and meeting coordination using Google Calendar, Gmail, and Google Workspace.
  • Prepare context, notes, and materials ahead of meetings or calls for leadership.
  • Conduct operational and market research, including vendor research, inventory checks, market comparisons, and data gathering.
  • Organize research findings into actionable summaries and reports.
  • Support leadership with daily priorities, execution tracking, and follow-through on operational tasks.

Requirements

  • 2+ years of experience supporting founders, executives, operations teams, or small business owners.
  • Experience in executive assistance, operations coordination, administrative support, or client communication.
  • Strong hands-on experience with GoHighLevel (GHL).
  • Strong hands-on experience with Google Workspace, Gmail, Google Calendar, Google Drive, and Google Docs.
  • Experience managing CRM workflows and operational tracking systems.
  • Strong organizational, workflow management, and multitasking skills.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail and operational accuracy.
  • Ability to manage priorities independently without constant oversight.
  • Reliable remote work setup and stable internet connection.
  • Experience in the automotive industry, client coordination, or service-based businesses is preferred.
  • Familiarity with Gamma, Google Slides, PowerPoint, or Notebook LM is preferred.
  • Experience supporting founders in fast-paced businesses is preferred.
