Description

  • Answer incoming patient phone calls professionally and manage callbacks and follow-up communications.
  • Respond to patient inquiries and provide customer service through phone and electronic communication.
  • Schedule, reschedule, and confirm patient appointments, including no-show follow-up.
  • Support patient check-in and check-out workflows and maintain accurate scheduling records in NexTech EHR.
  • Verify patient insurance eligibility and benefits, and coordinate prior authorizations.
  • Follow up on claims and authorizations with insurance companies and assist with billing tasks.
  • Post patient payments accurately and maintain organized billing and account records.
  • Update and maintain patient records in NexTech EHR and support front desk administrative workflows.
  • Ensure HIPAA compliance and patient confidentiality in all interactions and records handling.

Requirements

  • Medical office, healthcare, nursing, or clinical experience is required.
  • Experience with patient scheduling and front desk operations is preferred.
  • Experience with insurance verification, prior authorizations, or billing support is preferred.
  • Experience using NexTech EHR is strongly preferred.
  • Previous virtual assistant experience is a plus.
  • Excellent phone etiquette and verbal communication skills are required.
  • Strong customer service, organizational, time management, multitasking, and attention-to-detail skills are required.
  • Ability to work independently while following established workflows and handling confidential patient information is required.
  • Must speak and write English very clearly.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Must have a reliable laptop or desktop computer, high-speed internet of at least 25 Mbps, a noise-canceling headset, a webcam, and a quiet professional workspace.
