Description

  • Manage controlled documents through review, approval, release, revision, cancellation, and obsolescence workflows.
  • Process incoming records by validating, classifying, indexing, maintaining metadata, and handling retention, retrieval, archival, and disposition.
  • Perform quality control checks on controlled documents and records for completeness, accuracy, legibility, approvals, identifiers, revisions, formatting, and metadata.
  • Maintain access permissions for controlled documents, records, and system users.
  • Monitor workflow queues and follow up on incomplete, delayed, or nonconforming submissions.
  • Communicate with internal customers across departments regarding document requests.
  • Provide first-line support for EDMS tools, workflows, file access issues, and routine document/records requests.
  • Escalate unresolved system, workflow, access, or compliance issues.
  • Support policy, procedure, and work instruction updates and process improvements.
  • Maintain controlled templates, forms, logs, and indexes, and generate routine reports and metrics.

Requirements

  • 5+ years of related experience in a regulated industry, with energy preferred and nuclear strongly preferred.
  • Experience in both controlled documents and records management.
  • Associate degree or equivalent training and relevant experience required; Bachelor’s degree preferred.
  • Remote work capability with experience using video conferencing and cloud-based apps.
  • Willing and able to travel about 15% of workdays.
  • Experience using an Electronic Document Management System (EDMS) for document control and/or records management.
  • Knowledge of nuclear QA requirements such as ASME NQA-1 and ANSI N15.8, and document control’s role in regulatory compliance.
  • Familiarity with integrated safety management and document change/configuration control.
  • Experience with Microsoft Word, Excel, Gmail, Google Calendar, Adobe Acrobat Pro, SharePoint, Box, Jira, Confluence, and EDMS tools such as M-Files (preferred).
  • Experience with technical writing/editing, word processing, or document compositing (preferred).
