Description

  • Conduct intake calls with prospective clients using firm scripts and procedures.
  • Gather, verify, and organize client information in the practice management system.
  • Schedule consultations and manage calendar logistics.
  • Route qualified intake leads to attorneys based on practice area and availability.
  • Maintain detailed CRM records and follow up on pending leads.
  • Flag conflicts of interest, jurisdictional issues, and matters outside firm scope before attorney review.
  • Support client communication by phone and email in English and Spanish.
  • Track intake metrics and report on pipeline status as needed.

Requirements

  • Fluent bilingual capability in English and Spanish, both verbal and written, at a client-facing standard.
  • Minimum 2 years of experience in legal intake, legal administration, or a similar client-facing role in a legal or professional services setting.
  • Proficiency with legal practice management systems such as LawMatics, Clio, or a comparable CRM platform.
  • Strong organizational skills and attention to detail when handling sensitive client information.
  • Ability to follow scripts and procedures while maintaining professionalism and warmth with clients.
  • Reliable internet connection and the ability to work a stable schedule across US business hours.
  • Professional phone presence and clear communication in both languages.
  • Experience with intake call recording and documentation is preferred.
  • Background in contract administration or legal operations is preferred.
  • Bilingual capability in a third language is preferred.
