Description

  • Manage and coordinate complex calendars for ownership and leadership.
  • Provide direct executive assistant and administrative support to company ownership and coaching-practice coordination.
  • Support real-time operations during Coach Community Gatherings by uploading materials, managing communications, and coordinating digital platforms such as Mighty Networks and WhatsApp.
  • Prepare, organize, and distribute meeting materials, agendas, and resources before BGOS sessions and community gatherings.
  • Maintain and update collateral, training materials, documentation, and digital assets with accuracy and organization.
  • Support internal communication across BGOS team members to keep priorities aligned and execution on track.
  • Organize and maintain BGOS systems and improve administrative workflows where possible.
  • Identify inefficiencies in administrative processes and implement solutions to improve efficiency.
  • Use AI tools to enhance, optimize, and streamline collateral and administrative processes where applicable.

Requirements

  • 3+ years of relevant experience in an Executive Assistant or Administrative role.
  • Experience supporting executives or leadership teams in a fast-paced environment.
  • Proficiency in calendar management, digital collaboration tools, and administrative systems.
  • Strong written and verbal communication skills in English.
  • Ability to work effectively in a remote environment with a reliable internet connection.
  • High level of discretion, professionalism, and organizational skills.
  • Basic mathematical and reasoning abilities.
  • Experience working within a business operating system such as EOS or a similar framework (preferred).
  • Familiarity with community platforms such as Mighty Networks or similar tools (preferred).
  • AI proficiency for content creation, editing, or workflow automation (preferred).
  • Bilingual English/Spanish ability (preferred).
  • Experience in SaaS or coaching/training organizations (preferred).
