Description

  • Manage executive calendars, scheduling, meetings, reminders, and follow-ups to keep priorities organized.
  • Support business communications through emails, messages, documents, and internal updates.
  • Create, update, and maintain spreadsheets, trackers, reports, and organized records with strong accuracy.
  • Coordinate administrative and operational tasks that keep daily business activities running smoothly.
  • Improve workflows by identifying gaps, organizing information, and creating clearer processes.
  • Prepare documents, presentations, summaries, and other materials using Microsoft Office and Google Workspace.
  • Track deadlines, action items, and open tasks to ensure nothing is missed.
  • Handle confidential information with professionalism, accuracy, and discretion.
  • Work independently in a remote environment while communicating progress, blockers, and priorities clearly.
  • Support ad hoc operational projects as the business grows and needs change.

Requirements

  • Excellent written and verbal English communication skills.
  • 2+ years of experience as an Executive Assistant, Administrative Assistant, Operations Coordinator, or in a similar role.
  • Strong calendar management, business communication, and administrative support experience.
  • Advanced proficiency with Microsoft Office and Google Workspace.
  • Strong spreadsheet skills, including organizing, tracking, and maintaining accurate data.
  • Excellent organization, time management, attention to detail, and follow-through.
  • Reliable remote work setup, including a headset and a quiet workspace with no background noise.
  • Experience supporting U.S. or Canadian executives or clients is preferred.
  • Experience improving administrative systems, workflows, or operating procedures is preferred.
  • Comfort using project management, CRM, automation, or productivity tools is preferred.
  • Experience preparing reports, meeting notes, dashboards, or executive summaries is preferred.
  • Background in operations support for a growing remote team is preferred.
