Description

  • Manage the CEO’s inbox and serve as a first point of contact for email communications.
  • Schedule meetings, appointments, and personal errands for the CEO.
  • Prepare weekly budget and schedule reports for ongoing projects.
  • Check marketing campaign metrics and summarize key performance updates.
  • Provide weekly status updates in Asana and track project progress.
  • Organize, clean, and maintain files and documents in Google Drive.
  • Support the CEO with general administrative tasks and day-to-day coordination.
  • Assist with basic data analysis, market research, and reporting as the role expands.
  • Potentially manage and coordinate other virtual assistants as responsibilities grow.

Requirements

  • Prior experience working as an executive assistant.
  • Some experience in real estate, preferably to understand industry terminology.
  • Strong English communication skills and the ability to manage the CEO’s inbox.
  • Proficiency with Google Suite, including Sheets and Docs.
  • Ability to learn and navigate simple tools such as HubSpot and Asana.
  • Strong preference for candidates with technical proficiency and experience in a fast-paced tech environment.
  • Ability to clean, migrate, and organize data in Excel and Google Sheets.
  • Experience setting up integrations in HubSpot or working with similar software is preferred.
  • Ability to read, compile, and report on data from market reports.
  • A proactive, problem-solving mindset with the ability to learn new software quickly.
