Description

  • Manage the CEO and CCO’s email, calendars, daily priorities, and time-sensitive communications.
  • Track, organize, and update key processes and SOPs to reflect current feedback and changes.
  • Anticipate needs, solve problems proactively, and keep leadership focused on strategy and creativity.
  • Coordinate meetings, communication, and follow-ups with internal teams and external partners.
  • Handle sensitive information with professionalism, discretion, and sound judgment.
  • Support company-wide projects by working with department leads to keep initiatives on track.
  • Prepare, edit, and polish documents, presentations, and reports.
  • Maintain ClickUp dashboards, L10 agendas, and company scorecards.
  • Assist with hiring, onboarding, and training new team members.
  • Organize travel, events, and executive business and household logistics.
  • Identify inefficiencies in administrative and operational workflows and help streamline them.

Requirements

  • 3+ years of experience in an EA, Chief of Staff, Ops Coordinator, or high-level support role.
  • Full-time availability with near real-time responsiveness during 8 AM–6 PM CST core hours.
  • Strong experience managing executive calendars, inboxes, projects, and people.
  • High proficiency with Google Suite, Excel, ClickUp, and modern AI tools.
  • Experience supporting a founder or CEO in a fast-paced environment is a plus.
  • Experience with hiring coordination and team operations is preferred.
  • Assertive yet service-minded with strong judgment on when to escalate issues.
  • Polished, professional communicator with clear and concise communication skills.
  • Obsessively detail-oriented, proactive, results-driven, and able to stay poised under pressure.
  • Native English speaker with strong U.S. cultural understanding, including travel, communication, and gifting norms.
