Description

  • Support grant administration through handoff, grantee communications, due diligence, contract work, payment, and reporting.
  • Maintain accurate and timely grant records in GiveWell’s grants database.
  • Advise the Research team on grant logistics, requirements, and grantee expectations.
  • Build and improve grant administration systems, including automation and efficiency improvements in Salesforce, Asana, and Ironclad.
  • Support employee lifecycle processes including onboarding, offboarding, performance reviews, feedback programs, and HR tickets.
  • Handle payroll, benefits, COBRA administration, open enrollment, leave management, tax compliance, and annual reporting.
  • Support international employment, immigration, visa processing, and global mobility needs.
  • Coordinate recruiting workflows including applicant review, screening calls, interviews, work trials, offer support, and candidate communications.
  • Source candidates and improve recruiting processes through documentation, reports, and SOPs.
  • Provide IT support, manage licenses and vendor accounts, troubleshoot technical issues, and train staff on new tools.
  • Create and deliver AI enablement materials and help configure and deploy AI tools safely and effectively.
  • Provide executive operations support including scheduling, note-taking, expenses, communications, strategy documents, and cross-functional project management.

Requirements

  • Application deadline is September 7, 2026.
  • Candidates may be considered for Coordinator, Associate/Specialist, or Senior Associate/Senior Specialist levels depending on experience.
  • Strong operations experience is preferred, with domain-specific experience or strong alignment with GiveWell a plus.
  • Open to early-career candidates, including recent graduates.
  • Demonstrated ownership, strong communication, good judgment, coachability, service mindset, adaptability, and mission alignment.
  • Ability to work effectively in a changing environment with shifting goals and priorities.
  • Comfort with helpful technology and willingness to try new tools, including AI.
  • For the Chief of Staff to the COO, preference for candidates willing to work in the Oakland office 1–2 days per week.
  • Ability to complete a 2-hour timed work trial and a 30-minute initial screen as part of the hiring process.
  • Experience with tools such as Salesforce, Asana, and Ironclad is relevant for some roles.

  • Compensation by level and location, ranging from $83,500 to $135,500 for US roles.
