Description

  • Own and optimize the CEO’s calendar and inbox to support efficient scheduling, focus time, and timely communication.
  • Coordinate meetings, manage follow-ups, flag priorities, and respond on behalf of the CEO when appropriate.
  • Maintain alignment between the CEO’s professional and personal calendars.
  • Provide bookkeeping and accounting support using QuickBooks.
  • Support contracting and government compliance-related tasks, including marketing assistance as a secondary function.
  • Document, organize, and improve workflows and Standard Operating Procedures in Notion.
  • Help build internal systems for accountability, task tracking, and delegation across the organization.
  • Handle recurring administrative finance processes such as client billing setup, monthly invoices, commissions, and reimbursements.
  • Plan and manage travel logistics, conference registrations, and detailed itineraries for the CEO and team.
  • Serve as the central communication link between the CEO, internal team, and external partners while providing structured updates on priorities, progress, and deadlines.

Requirements

  • 3+ years of experience as an Executive Assistant, Operations Coordinator, or similar role supporting senior leadership.
  • Excellent written and verbal communication skills.
  • Strong organizational and prioritization abilities.
  • Tech-savvy and comfortable working in digital ecosystems such as Slack, Notion, and Google Workspace.
  • Proven ability to manage sensitive information with discretion.
  • Proactive, self-directed, and able to thrive in an environment with evolving needs.
  • Experience managing both business and personal responsibilities for a founder or executive is a plus.
  • Background in contracting and compliance concierge services is preferred.
  • Experience with client needs assessment and Statement of Work (SOW) creation is preferred.
  • Procurement management experience is preferred.
  • Basic knowledge of bookkeeping, reporting, or data entry is preferred.
  • Reliable high-speed internet and a modern home office setup are required.
  • Understanding of defense-related compliance certifications and ability to handle restricted calendar/email access appropriately.
  • Background check clearance is required.
