Description

  • Manage the Founder’s inbox, calls, and texts by triaging messages, responding where appropriate, and keeping communications organized.
  • Own and optimize the Founder’s calendar by protecting focus time, scheduling meetings, and preparing meeting materials and notes.
  • Maintain the CRM and business development pipeline, including prospect tracking and activity updates.
  • Coordinate proposal and bid preparation, including timelines, formatting, and inputs from contributors.
  • Plan business travel logistics, including flights, accommodations, and detailed itineraries.
  • Handle recurring expense reporting and reconciliation while keeping records accurate and organized.
  • Research relevant conferences and coordinate attendance logistics.
  • Serve as a communication link between the Founder and the internal team, ensuring timely updates across channels.
  • Support personal and life admin tasks such as doctor appointment scheduling.
  • Compile company scorecard updates on priorities, progress, and deadlines, and assist with social media publishing and future event planning as needed.

Requirements

  • 3+ years of experience as an Executive Assistant, Operations Coordinator, or similar role supporting senior leadership.
  • Experience in a technical or startup environment is preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and prioritization skills with the ability to work independently in an async, distributed team.
  • Tech-savvy and comfortable using Slack, Gmail, Google Workspace, and CRM/project management tools.
  • Ability to manage sensitive information with discretion.
  • Proactive, self-directed, and comfortable working with minimal oversight in an evolving environment.
  • Experience supporting business development, CRM upkeep, or sales pipeline coordination is a plus.
  • Experience coordinating proposals or bid documents is a plus.
  • Basic knowledge of expense reporting, reconciliation, or bookkeeping is preferred.
  • Reliable high-speed internet and a modern home office setup are required.
