Description

  • Manage the CEO’s daily, weekly, and monthly schedule, including meetings, calls, and business travel.
  • Prioritize tasks, manage deadlines, and prepare information, materials, and reports in advance of the CEO’s needs.
  • Filter, organize, and respond to incoming communication, including drafting correspondence and reports in English and Russian.
  • Prepare presentations, summaries, analytical reports, and KPI updates to support decision-making.
  • Coordinate internal and external communication on behalf of the CEO and follow up on action items across departments.
  • Support ongoing company projects by monitoring progress, collecting data, and preparing status updates.
  • Manage relationships with suppliers, contractors, partners, and the CEO’s direct reports.
  • Maintain records, documentation, and administrative files, including licenses, insurance, COIs, and vehicle registrations.
  • Plan and coordinate business trips, meetings, exhibitions, and conferences, including visas and travel documentation.
  • Conduct market, business, and competitor research and help identify process improvements and efficiency opportunities.

Requirements

  • Higher education in Law, International Business, International Relations, or a similar field.
  • Minimum 2 years of experience as a Business Assistant, Executive Assistant, or in a similar role in a dynamic business environment.
  • Strong understanding of business operations, corporate communication, and project coordination.
  • Fluent English at C1 level or higher, plus written and spoken Russian.
  • Experience working for a U.S. company with operations in the USA is a strong plus.
  • Excellent time management, prioritization, and organizational skills.
  • Ability to make decisions independently and maintain confidentiality.
  • Professional demeanor and strong interpersonal communication skills.
  • Proficiency with office software and digital tools such as Google Workspace, MS Office, Zoom, and AI assistants.
  • Basic understanding of finance, budgeting, and reporting is a plus.
  • High energy, strong motivation, and a proactive attitude.
  • Attention to detail, strategic and analytical thinking, flexibility, and the ability to stay calm under pressure.
