Description

  • Open and maintain conveyancing matters in Smokeball and PEXA.
  • Enter and update client, agent, lender/broker, and solicitor details accurately.
  • Conduct conflict checks, verify identity, and issue welcome and costs disclosure correspondence.
  • Maintain accurate matter records, key dates, and organised file documentation throughout the matter lifecycle.
  • Review contracts and supporting searches, including titles, easements, covenants, and planning documents.
  • Prepare contract review notes, client summary correspondence, and assist with amendments, negotiations, and special conditions.
  • Coordinate finance, pest and building, cooling-off, execution, and exchange processes.
  • Liaise with brokers, lenders, agents, solicitors, and other parties during the transaction.
  • Manage requisitions, discharge authorities, settlement requirements, settlement figures, and adjustment worksheets.
  • Complete post-settlement tasks including title confirmation, final reporting, invoicing, workspace closure, and file archiving.

Requirements

  • Previous experience in residential conveyancing or property law support within the Australian market.
  • Strong working knowledge of Smokeball and PEXA, with hands-on experience in both strongly preferred.
  • Excellent file management and organisational skills with high attention to detail.
  • Strong written and verbal English communication skills for professional client and third-party liaison.
  • Ability to manage competing deadlines across a high-volume matter load without compromising accuracy.
  • Comfortable working in a structured supervisory environment with clear reporting lines and accountability.
  • Ability to identify issues early and escalate appropriately without waiting to be prompted.
  • Resilient, direct, self-sufficient, and comfortable in a fast-paced, no-fuss working environment.
  • Preferred experience supporting a high-volume conveyancing or property law practice in Australia.
  • Preferred familiarity with Australian title, planning, and search documentation across different states.
  • Preferred experience working with outsourced or remote legal teams and regular file review structures.

Benefits

  • Salary of up to PHP 80,000 per month.
  • Monday to Friday schedule, 9:00 AM to 6:00 PM AEST.
