Description

  • Monitor, sort, and organize a high-volume Outlook inbox.
  • Set up and maintain inbox rules, folder structures, and calendar organization.
  • Flag priority emails and action items for the business owner.
  • Draft or respond to routine correspondence as directed.
  • Perform accurate data entry across business systems and maintain organized digital records.
  • Organize, rename, scan, upload, and file documents in Google Drive.
  • Categorize receipts and financial documents and keep them easy to locate.
  • Create and send invoices, record payments, and complete basic data entry in QuickBooks for two business entities.
  • Assist with scheduling meetings, managing appointments, and sending meeting invites as the role evolves.
  • Create simple flyers or documents and handle ad hoc administrative tasks and process improvements.

Requirements

  • Minimum 3–4 years of experience in a virtual assistant, administrative, or operations support role.
  • Proven track record of managing high volumes of administrative tasks independently.
  • Experience working remotely with U.S.-based clients or businesses is preferred.
  • Proficiency with Outlook for inbox management, folder structures, and calendar use.
  • Confidence using Google Drive for file organization and document management.
  • Basic invoicing and data entry experience in QuickBooks is required; full bookkeeping is not necessary.
  • General proficiency with Microsoft Office or Google Workspace.
  • Strong attention to detail and excellent written English communication skills.
  • Ability to work autonomously with minimal supervision and adapt as the business grows.
  • Discretion and professionalism when handling sensitive business information.
  • Experience supporting a startup or early-stage company is nice to have.
  • Familiarity with basic bookkeeping concepts and financial record-keeping is nice to have.
  • Experience creating simple marketing materials or flyers is nice to have.
  • Background in real estate, title, or legal administration is nice to have.
