Description

  • Review and scan physical legal documents to identify document type and applicable parties.
  • Classify contracts, corporate minute book documents, regulatory filings, and ancillary legal documents into the correct categories.
  • Apply standardized file naming conventions established by the legal team to each document.
  • Extract and record key metadata such as parties, dates, status, jurisdiction, and signatory information.
  • Flag documents with missing, illegible, ambiguous, sensitive, privileged, or out-of-scope information for attorney review.
  • Upload renamed documents into the document management system or designated platform such as DocuSign or SharePoint.
  • Apply the correct metadata fields, folder structures, and tags during upload.
  • Maintain an upload log or tracking spreadsheet for each processed document.
  • Perform basic quality control checks to confirm files are saved, named correctly, and readable after upload.
  • Communicate regularly with the supervising attorney or office manager and participate in onboarding and training on project procedures.

Requirements

  • High school diploma or equivalent required; BA/BS degree preferred.
  • 2-4 years of experience in a legal, administrative, records management, or document control environment preferred.
  • Experience working in a law firm, legal department, or corporate secretary function.
  • Familiarity with corporate minute book maintenance and corporate governance document types.
  • Prior experience with document management systems such as iManage, DocuSign, or similar platforms.
  • Knowledge of contract lifecycle management concepts, including effective dates, expiration, amendments, and renewals.
  • Ability to identify and distinguish common legal document types such as contracts, corporate records, and filings.
  • Proficiency with Microsoft Office Suite, especially Word and Excel, and comfort using cloud storage or document management platforms.
  • Exceptional attention to detail and accuracy when handling high volumes of data entry and file management.
  • Strong organizational skills with the ability to prioritize and manage a large volume of documents efficiently.
  • Ability to handle confidential and privileged information with discretion and professionalism.
  • Paralegal certificate or formal legal studies is a plus.
  • Employer does not offer work visa sponsorship for this position.

Benefits

  • Hourly pay of $25.00 to $28.00.
  • Medical insurance benefits available according to the company benefit plan.
  • Full-time employees are currently eligible for medical benefits սկսing on the first day of employment.
  • This position is not eligible for a bonus under the current bonus plan requirements.
