Description

  • Respond to and qualify inbound leads from ads, social media, and referrals.
  • Collect, verify, and file driver onboarding documents and eligibility records.
  • Run background and DMV checks and schedule vehicle pickups for approved drivers.
  • Prepare, send, track, and archive rental agreements and related paperwork.
  • Manage recurring rental payments, deposits, invoices, receipts, late payments, refunds, and payment plans.
  • Serve as the first point of contact for drivers across phone, text, email, and chat.
  • Resolve customer issues professionally and escalate cases when needed.
  • Coordinate with the Fleet Coordinator on vehicle pickups, returns, swaps, and maintenance requests.
  • Track vehicle availability, registration, inspections, insurance dates, toll tags, and traffic or parking violations.
  • Maintain accurate records in Notion and the CRM, update SOPs, and send weekly operational reports.

Requirements

  • 2+ years of experience as a virtual assistant, in operations, or in customer service.
  • Experience in car rental, automotive, logistics, or a related industry is a strong plus.
  • Excellent written and spoken English.
  • Highly organized and detail-oriented with strong follow-through.
  • Comfortable working with Notion, GoHighLevel or a similar CRM, Google Workspace, e-signature platforms, and payment processors.
  • Able to work independently, self-start, and own outcomes.
  • Reliable internet connection, quiet workspace, and availability during Central Time business hours.
  • Experience with billing, collections, or subscription/recurring payments is preferred.
  • Familiarity with the rideshare or delivery ecosystem such as Uber, Lyft, or DoorDash is preferred.
  • Experience documenting or building SOPs and workflows is preferred.
