Description

  • Handle high-volume inbound and outbound patient calls professionally.
  • Manage appointment scheduling, calendar coordination, and appointment confirmations.
  • Follow up on denied and unclaimed insurance claims and billing issues.
  • Serve as a first point of contact for crisis-related calls and triage support, escalating to the clinician or authorities when needed.
  • Provide de-escalation support for callers in sensitive or crisis situations when appropriate.
  • Perform insurance verification for patients.
  • Enter patient data and manage EMR/EHR records.
  • Re-engage prospective patients who did not convert.
  • Assist with documentation, note-taking, and backlog cleanup.
  • Submit prior authorization forms promptly and support ongoing patient communications.

Requirements

  • Virtual assistant experience is required.
  • Medical education or a healthcare degree is preferred but not required.
  • Experience in administrative, CRM, digital, or support roles is required.
  • Excellent English comprehension, speaking, and writing skills are non-negotiable.
  • Strong attention to detail and the ability to follow instructions accurately.
  • Ability to work independently without constant micromanagement.
  • Proactive, dependable, and self-managed with a willingness to take initiative.
  • Comfortable working extended hours and being on-call when needed.
  • Must submit an NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer is required.
  • High-speed internet connection of at least 10 Mbps is required.
  • Noise-canceling headset, webcam, and a quiet professional workspace are required.
  • Experience in medical or mental health settings is preferred.
  • Experience with billing, claims follow-up, and insurance processes is preferred.
  • Experience with TherapyNotes, NoteWork, SimplePractice, or Epic is a plus.
