Description

  • Complete patient intake coordination from start to finish and accurately document patient information.
  • Update and maintain patient records in Practice Better and ensure intake documentation is organized and complete.
  • Answer incoming phone calls, manage patient inquiries, and conduct non-clinical consultations and outreach calls.
  • Follow up with referred patients and coordinate communication between patients and providers.
  • Verify insurance eligibility, benefits, and coverage details and communicate the results clearly to patients.
  • Schedule appointments, manage provider calendars, and set up meetings via Zoom and Google Meet.
  • Monitor and respond to emails, track outstanding tasks, referrals, and follow-ups, and support front desk administration.
  • Provide compassionate, trauma-informed support during sensitive patient conversations.
  • Maintain HIPAA-compliant handling of patient information and document interactions accurately and thoroughly.
  • Support day-to-day clinic operations and general administrative workflow management.

Requirements

  • Experience with healthcare administration, patient intake, and insurance verification.
  • Strong phone communication and customer service skills.
  • Compassionate, empathetic, and trauma-informed communication style.
  • Excellent organizational and time management skills with strong attention to detail.
  • Ability to multitask, prioritize effectively, and work independently in a fast-paced environment.
  • Professional, reliable, accountable, and proactive problem-solving approach.
  • Strong written communication and email management skills.
  • Comfortable handling confidential patient information in a HIPAA-compliant manner.
  • Familiarity with reproductive mental health, pregnancy loss, stillbirth, infertility, or postpartum support is preferred.
  • Experience with EHR systems, preferably Practice Better, is preferred.
  • Previous experience supporting healthcare or mental health practices is preferred.
  • Spanish-speaking ability is preferred.
  • Experience with Zoom, Google Meet, and virtual healthcare operations is preferred.
  • Must speak and write English very clearly.
  • Must have relevant work experience.
  • Must be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Must have a reliable laptop or desktop computer, high-speed internet of at least 25 Mbps, a noise-canceling headset, a webcam, and a quiet professional workspace.
