Description

  • Handle incoming and outgoing calls in both Spanish and English.
  • Manage email communications and client correspondence.
  • Follow a detailed 20-step SOP workflow for scheduling, documentation, verification, and records management.
  • Schedule appointments and coordinate patient/client sessions.
  • Maintain session documentation and client data or patient records.
  • Manage billing and invoicing processes.
  • Provide general administrative and operational support.
  • Work within a structured, fast-paced clinical environment.
  • Use Passage Health, Microsoft systems, and RingCentral to complete daily tasks.

Requirements

  • Minimum 1 year of experience in a remote healthcare or medical administrative role.
  • Proven experience in insurance verification is a plus.
  • Proven experience in appointment scheduling and patient coordination.
  • Proven experience in billing support is a plus.
  • Experience in behavioral health or therapeutic/clinical settings is preferred.
  • Experience working with EHR systems is preferred.
  • High proficiency in Spanish and English, both spoken and written.
  • Experience handling high-volume calls in a professional manner.
  • Strong attention to detail, especially in clinical documentation.
  • Ability to follow detailed SOPs and work independently with minimal supervision.
  • Comfortable working in a fast-paced environment.
  • Must be able to speak and write English and Spanish very clearly.
  • Must have relevant work experience.
  • Must be able to submit an NBI clearance and/or Local Police Clearance before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer required.
  • High-speed internet connection with a minimum of 10 Mbps required.
  • Noise-canceling headset required.
  • Webcam required for virtual meetings.
  • Must have a quiet, professional workspace.
