Description

  • Answer inbound calls from new patients and respond professionally to questions about services and appointments.
  • Make outbound calls to new patient leads and follow up on online bookings to collect missing information.
  • Collect complete and accurate demographic and insurance information from patients.
  • Obtain insurance cards and verify insurance acceptance before scheduling.
  • Coordinate with the insurance verification team to schedule patients based on coverage and plan acceptance.
  • Collaborate with physical therapists to follow up on patients needing scheduling or rescheduling.
  • Schedule patient evaluations and follow-up appointments up to 4–6 weeks in advance.
  • Create and maintain patient charts with accuracy and attention to detail.
  • Document patient data correctly to support clinical and billing workflows.
  • Track patient status to prevent missed follow-ups or dropped leads.

Requirements

  • Excellent customer service and patient communication skills.
  • Strong verbal and written English skills for daily communication with patients and internal teams.
  • Proven ability to multitask in a fast-paced, patient-facing environment.
  • Strong organizational skills to ensure timely follow-ups and accurate scheduling.
  • High attention to detail and commitment to accurate data entry and documentation.
  • Experience in healthcare intake, patient scheduling, or medical front-desk operations (preferred).
  • Familiarity with insurance verification processes (preferred).
  • Experience working with EMR or patient management systems (preferred).
  • High school diploma or equivalent required.
  • Healthcare administration or related coursework is an advantage.
