Description

  • Answer inbound calls promptly and ensure no patient calls are missed.
  • Manage new patient intake and schedule appointments.
  • Process referrals and complete timely follow-ups.
  • Contact no-show patients at least twice and send text reminders with proper documentation.
  • Verify insurance coverage and process prior authorizations accurately.
  • Respond to new inquiries and referrals within 5 minutes as a critical speed-to-lead KPI.
  • Assist patients with questions, including basic clinical-related inquiries when appropriate.
  • Handle basic patient concerns or objections over the phone when needed.
  • Participate in daily Zoom meetings with the team.
  • Support the clinic’s patient volume and operational goals through consistent follow-up and communication.

Requirements

  • HIPAA-trained and certified.
  • Proven experience in healthcare administrative tasks.
  • Experience in behavioral health or mental health practices preferred.
  • Ability to handle patient inquiries beyond scheduling, including medication side effects and general clinical questions.
  • Excellent spoken and written English communication skills.
  • Strong consistency, accountability, reliability, critical thinking, and problem-solving skills.
  • Experience with multiple EHR systems; Valant experience preferred but not required.
  • Experience with RingCentral phone system preferred.
  • Must be able to work during CDT business hours.
  • Spanish bilingual ability preferred but not required.
  • Relevant experience in a similar administrative or healthcare support role required.
  • Must submit an NBI clearance and/or Local Police Clearance background check before onboarding.
  • Must be available for video meetings with camera on when needed.
  • Reliable laptop or desktop computer, high-speed internet of at least 10 Mbps, noise-canceling headset, webcam, and quiet professional workspace required.
