Description

  • Research, evaluate, and prioritize tradeshows, conferences, and industry events aligned with ideal customer profiles and revenue goals.
  • Own a rolling 12-month event calendar and coordinate event planning across the business.
  • Negotiate with event organizers, vendors, and venues for sponsorships, booth space, speaking slots, and add-ons.
  • Manage end-to-end event logistics, including booth design, shipping, swag, collateral, lead capture, badge scanners, AV, catering, hotel blocks, and team travel.
  • Attend events on-site, set up and tear down booths, and troubleshoot issues in real time.
  • Brief attending team members on event objectives, talking points, target accounts, and logistics.
  • Partner with sales to book pre-show meetings, run on-site dinners and customer events, and ensure leads are captured and followed up promptly.
  • Work with marketing on pre- and post-event campaigns, including email outreach, landing pages, paid promotion, and social content to drive attendance and meetings.
  • Own event budgets, track spend, forecast costs, and make trade-off decisions to maximize ROI.
  • Define event KPIs and produce post-event reports on leads, meetings, pipeline, ROI, and performance improvements.

Requirements

  • 1 to 4 years of experience in event marketing, field marketing, or event coordination, ideally in B2B or tech.
  • Demonstrated experience organizing events end to end, even at smaller scale.
  • Experience managing event budgets, including forecasting, tracking spend, and making ROI-focused trade-offs.
  • Ability to define KPIs and build reports that connect event activity to pipeline and revenue.
  • Genuine interest in AI and proven use of AI tools or workflows to improve event marketing work; this is a must-have requirement.
  • Familiarity with HubSpot on the CRM side.
  • Strong project management instincts and the ability to manage timelines, budgets, vendors, and multiple moving parts.
  • Comfort negotiating with vendors and event organizers.
  • Excellent written and verbal communication skills, including the ability to brief executives and engage prospects.
  • Willingness and ability to travel 30% to 50% during peak seasons across North America, with potential European travel as the company expands.
  • Must be based in the US or Canada, live within roughly an hour of a major airport hub with frequent direct flights, and have the right to work in the country of residence; visa sponsorship is not available.
  • Nice to have experience with event tools such as Cvent, Splash, Bizzabo, or Goldcast.
  • Nice to have experience working with international events or vendors.
  • Nice to have a background in B2B SaaS or a similarly fast-paced tech environment.
