Description

  • Research, evaluate, and prioritize tradeshows, conferences, and industry events aligned with ICP and revenue goals.
  • Own and maintain a rolling 12-month event calendar.
  • Negotiate with event organizers, vendors, and venues for sponsorships, booth space, speaking slots, and add-ons.
  • Plan and execute events end to end, including booth design, shipping, swag, collateral, lead capture, scanners, AV, catering, hotel blocks, and team travel logistics.
  • Serve as the on-site point of contact at every event, including booth setup, teardown, and real-time troubleshooting.
  • Brief internal team members on event objectives, talking points, target accounts, and logistics.
  • Partner with sales to book pre-show meetings, run on-site dinners and customer events, and ensure leads are captured, qualified, and followed up quickly.
  • Work with marketing on pre- and post-event campaigns such as email outreach, landing pages, paid promotion, and social media.
  • Manage event budgets, track costs, forecast spend, and make trade-off decisions as priorities shift.
  • Define event KPIs and build post-event reports that measure leads, meetings, pipeline, ROI, and areas for improvement.

Requirements

  • 1 to 4 years of experience in event marketing, field marketing, or event coordination, ideally in B2B or tech.
  • A track record of organizing events end to end, including smaller-scale events.
  • Experience managing an events budget and forecasting spend to maximize ROI.
  • Ability to define KPIs and build reports that connect event activity to pipeline and revenue.
  • Strong experience using AI to improve event marketing workflows; this is a must-have requirement.
  • Familiarity with HubSpot on the CRM side.
  • Strong project management skills across timelines, budgets, vendors, and multiple moving pieces.
  • Comfort negotiating with vendors and event organizers.
  • Excellent written and verbal communication skills, including presenting to executives and engaging prospects.
  • Willingness and ability to travel 30% to 50% during peak seasons across North America, with potential European travel.
  • Must be based in the US or Canada and live within roughly an hour of a major airport hub with frequent direct flights.
  • Must have the right to work in the country of residence; visa sponsorship is not available.
  • Experience with event tools such as Cvent, Splash, Bizzabo, or Goldcast is preferred.
  • Experience working with international events or vendors is preferred.
  • Background in B2B SaaS or a similarly fast-paced tech environment is preferred.
