Description

  • Manage calendars, meetings, appointments, and scheduling conflicts across multiple business ventures.
  • Organize daily and weekly priorities based on urgency and business impact.
  • Create, send, track, and follow up on invoices using QuickBooks.
  • Convert voice notes, messages, and instructions into organized task lists with deadlines.
  • Track action items through completion and follow up on outstanding requirements with internal and external contacts.
  • Maintain simple tracking systems in Notion, Google Sheets, or Microsoft Excel.
  • Keep project deadlines, updates, and work items organized across email, calendars, QuickBooks, and task-tracking tools.
  • Handle operational emails and SMS follow-ups, including routing requests and logging important updates.
  • Provide simple status reports on completed, pending, and blocked tasks.
  • Track project costs against expected expenses and flag risks, delays, and items needing executive attention.

Requirements

  • Previous experience as an Executive Assistant, Operations Assistant, Administrative Assistant, Project Coordinator, or in a similar role.
  • Experience managing calendars, schedules, priorities, and follow-ups.
  • Familiarity with invoicing, billing, or basic QuickBooks functions.
  • Strong organizational and task-management skills.
  • Comfortable working across multiple businesses, projects, and priorities.
  • Strong written English communication skills.
  • Proficiency with Google Calendar, email, Google Sheets, or Microsoft Excel.
  • Ability to work independently and complete tasks without repeated reminders.
  • Availability during Canadian/North American business hours.
  • Experience using QuickBooks Online is preferred.
  • Experience using Notion or a similar project-management platform is preferred.
  • Familiarity with Google Voice or SMS-based business communication is preferred.
  • Experience supporting construction, creative, or service-based businesses is preferred.
  • Basic experience tracking project expenses, invoices, or operational costs is preferred.
