Description

  • Own and operate the POI intake process end to end, including Jira-based request triage, routing, tracking, and delivery follow-through.
  • Serve as the primary intake partner for People team requestors by helping frame, scope, and set expectations for incoming work.
  • Facilitate regular intake, backlog grooming, and roadmap review cadences across the portfolio.
  • Evaluate incoming requests against People team priorities and apply strategic judgment to drive prioritization decisions.
  • Build portfolio visibility and capacity reporting, including dashboards that show queue depth, resource allocation, and roadmap health.
  • Synthesize intake trends and surface insights to leadership on capacity constraints, recurring themes, capability gaps, and emerging risks.
  • Design, build, iterate on, and deploy an AI agent to improve intake automation, scoping, duplicate detection, estimation, and prioritization guidance.
  • Create and maintain requestor-facing documentation, submission guides, communication templates, and onboarding materials to improve intake quality.
  • Partner with POI and People team leaders on resourcing discussions, trade-offs, and portfolio recommendations for senior stakeholders.
  • Participate in quarterly business reviews and annual planning cycles to support portfolio planning and alignment.

Requirements

  • 7+ years of experience in project management, business operations, strategy, or consulting in complex, matrixed organizations.
  • Experience designing, building, or significantly improving an intake, triage, or portfolio management process.
  • Strong analytical and systems-thinking skills with the ability to make and communicate prioritization recommendations.
  • Proficiency in Jira or equivalent ticketing/project management tools, including workflow configuration, capacity planning, and reporting.
  • Proven experience using AI tools such as LLMs, AI agents, or automation platforms to streamline workflows or automate operational tasks.
  • Excellent written and verbal communication skills for translating ambiguous requests into actionable project briefs and presenting portfolio data clearly.
  • Experience managing relationships with senior stakeholders such as directors and VPs, including expectation setting and alignment conversations.
  • Comfort operating in ambiguous environments and independently defining approach and success metrics.
  • Collaborative, low-ego working style focused on being a strategic partner and trusted advisor.
  • At least 2 years of experience working within or closely alongside an HR, People, or equivalent internal operations team.
  • Hands-on experience building AI agents or automation workflows using no-code or low-code tooling (preferred).
  • Experience with prompt engineering, RAG concepts, or human-in-the-loop AI workflows (preferred).
  • Background in portfolio management, demand management, or capacity planning, including frameworks such as RICE, WSJF, or OKR-alignment scoring (preferred).
  • Experience with change management frameworks such as Prosci ADKAR® and adoption strategy design (preferred).
  • Familiarity with HR systems and People workflows, such as Workday, Greenhouse, or Retool (preferred).
  • Experience building dashboards or capacity reports in Tableau, Looker, Google Sheets, or similar tools (preferred).
  • Advanced proficiency in Google Workspace and Mac OS (preferred).
