Description

  • Answer incoming patient calls, take detailed messages, and route urgent clinical matters to the appropriate medical staff.
  • Conduct outbound calls for appointment confirmations, follow-ups, gap filling, and missing paperwork requests.
  • Monitor and respond to practice email, secure text messages, and patient portal inquiries.
  • Register new patients by collecting accurate personal, contact, and medical history information.
  • Input, update, and maintain patient records in the EMR/EHR system in compliance with data protocols.
  • Upload and organize intake forms, referrals, and external medical records into the correct patient charts.
  • Schedule, reschedule, and cancel patient appointments in alignment with provider preferences and clinic workflows.
  • Monitor cancellations and no-shows and use the waitlist to keep provider calendars full.
  • Perform insurance eligibility checks through payer portals or direct calls to verify coverage, deductibles, co-pays, and plan limitations.
  • Explain estimated out-of-pocket costs and coordinate collection of co-pays or outstanding balances before appointments.

Requirements

  • Minimum 2 years of experience as a medical receptionist, secretary, or assistant in a U.S.-based medical clinic or healthcare setting.
  • Hands-on experience with mainstream EMR/EHR platforms, cloud-based VoIP phone systems such as RingCentral or Dialpad, and digital scheduling calendars.
  • Fluent verbal, reading, and written mastery of both English and Spanish.
  • Strong knowledge of health insurance terminology, including verification processes, prior authorizations, copays, and deductibles.
  • Exceptional verbal and written English communication skills with a warm, professional phone presence.
  • Thorough understanding of HIPAA compliance, patient confidentiality regulations, and medical data security standards.
  • A quiet, secure home office workspace free from background noise.
  • High-speed internet connection and a reliable computer headset.
