Description

  • Answer incoming phone calls and respond to patient emails and inquiries in a professional, timely manner.
  • Schedule, reschedule, and confirm patient appointments while maintaining provider calendars.
  • Verify patient insurance benefits and eligibility and maintain accurate patient information.
  • Perform general healthcare administrative tasks and support smooth daily clinic operations.
  • Conduct outbound calls to previous and inactive patients to encourage appointment scheduling and re-engagement.
  • Support the practice’s website updates and basic social media content management.
  • Provide basic billing assistance and related administrative support as needed.
  • Maintain prompt, accurate documentation and meet required turnaround times for communications and tasks.

Requirements

  • At least 2 years of healthcare or medical virtual assistant experience.
  • Experience with patient scheduling, appointment coordination, and administrative support.
  • Strong verbal and written English communication skills with a neutral, professional phone presence.
  • Excellent customer service, interpersonal, organizational, and multitasking skills.
  • Experience supporting a mental health or behavioral health practice is preferred.
  • Experience verifying insurance benefits is preferred.
  • Exposure to medical billing processes is preferred.
  • Experience conducting outbound patient calls or appointment reactivation campaigns is preferred.
  • Familiarity with website or social media management is preferred.
  • Experience using TherapyNotes, RingRx, Spruce Health, Weave, RingCentral, Nextiva, Dialpad, SimplePractice, Athena, AdvancedMD, eClinicalWorks, Kareo/Tebra, Practice Fusion, Google Workspace, WordPress, Canva, or Meta Business Suite is preferred.
  • Must provide an NBI Clearance and/or Local Police Clearance before onboarding.
  • Must be available to attend video meetings with camera on when required.
  • Must have a reliable laptop or desktop computer, stable high-speed internet of at least 25 Mbps, a noise-canceling headset, a working webcam, and a quiet professional workspace.
