Description

  • Submit, track, and secure complex HMO prior authorizations with complete clinical documentation.
  • Attach approved authorizations and referral codes to patient visits in AthenaHealth to support clean claim submissions.
  • Verify patient eligibility and benefits across Medicare, Medicaid, HMOs, and PPOs before appointments.
  • Handle high-volume inbound and outbound patient calls with a professional and reassuring demeanor.
  • Monitor patient interactions in the Yobi AI receptionist portal and manage handoffs between automated and live support.
  • Use Weave to manage multi-channel communications, text reminders, and real-time appointment scheduling and rescheduling.
  • Run outbound follow-up campaigns for no-shows and contact patients for missing demographic or insurance information.
  • Request and collect insurance ID cards and other needed patient documentation.
  • Maintain accuracy and workflow efficiency in a high-call-volume clinic environment.

Requirements

  • Minimum of 4+ years of verified administrative or receptionist experience in a U.S.-based healthcare practice.
  • Extensive hands-on administrative experience with AthenaHealth EMR (AthenaOne).
  • Direct experience with Weave or equivalent VoIP appointment and communication platforms.
  • Proven ability to stay accurate and calm in a high-call-volume clinic environment.
  • Dedicated quiet home office with high-speed internet, a noise-canceling headset, and reliable power backup.
  • Deep familiarity with major U.S. insurance plans, regional HMOs, and IPAs such as Regal, Optum, IEHP, PPOs, Medicare, and Medicaid (preferred).
  • Prior experience as an Authorization/Billing Specialist or Medical Front Desk Lead (preferred).
  • Comfort working in a tech-forward environment with digital communication hubs and AI-integrated portals.
