Description

  • Conduct regular client check-ins about medical treatment, answer general case-status questions, and help prevent gaps in care.
  • Request, track, and retrieve medical records and billing statements through provider portals such as ChartSwap and by phone.
  • Log medical documentation, case notes, deadlines, and treatment timelines accurately in the CRM.
  • Correspond with insurance adjusters regarding claim setup, PIP/MedPay, liability, and property damage.
  • Review case progress and flag files that are ready for attorney demand preparation.
  • Assist with inbound inquiries, web leads, and text communications as needed.
  • Gather case facts, conduct initial screening using scripts, and manage retainer agreement e-signatures.

Requirements

  • At least 1 year of direct experience in a U.S. law firm as a Case Manager Assistant, Paralegal, or Intake Specialist; plaintiff-side personal injury or litigation experience preferred.
  • Solid understanding of the personal injury case lifecycle, including intake, treatment, records and bills collection, demand, negotiation, and settlement.
  • Experience requesting and tracking medical records and communicating with insurance adjusters about claims, MedPay/PIP, and liability.
  • Exceptional fluency in English and Spanish with an empathetic, professional phone presence.
  • Strong written English skills, including clear case summaries and complete attorney-ready notes.
  • Hands-on experience with legal case management platforms such as Filevine, CASEpeer, Clio, Litify, SmartAdvocate, or similar.
  • Experience with electronic signature tools.
  • Quiet remote workspace with a noise-canceling headset, high-speed internet, and backup power and internet systems.
  • Availability to work 9:00 a.m. to 5:00 p.m. Pacific Time.
