Description

  • Manage the client’s calendar end-to-end, including scheduling, rescheduling, prioritizing conflicts, and ensuring meetings are prepared in advance.
  • Handle inbound communication across email, phone, and messaging platforms by triaging requests, responding when appropriate, and escalating urgent matters.
  • Use AI tools to draft communications, summarize threads, generate reports, and prepare briefing materials more efficiently.
  • Track open action items, follow-ups, and deadlines to prevent anything from slipping through the cracks.
  • Prepare reports, presentations, meeting agendas, and briefing materials that are accurate and ready to use.
  • Identify repetitive administrative tasks and implement AI-powered workflows or automation to reduce manual work.
  • Maintain organized and accurate records across CRM systems, shared drives, and administrative databases.
  • Coordinate meetings, travel, and logistics across time zones with strong attention to detail.
  • Support social media scheduling, market research, and competitor analysis when needed.

Requirements

  • Excellent conversational English that is clear, natural, and easy for clients to understand.
  • Proven experience in an executive support, virtual assistant, or administrative role.
  • Active, confident daily use of AI tools such as Claude, ChatGPT, Gemini, or equivalent.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with CRM tools such as HubSpot, Zoho, Salesforce, or equivalent.
  • Strong written English communication with emails that are professional and require no revisions.
  • Experience with social media management and scheduling tools.
  • High accuracy, strong attention to detail, and reliable follow-through.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Comfort with ambiguity and shifting priorities in a fast-moving environment.
  • Self-directed once trained, with the ability to ask the right questions early.
  • Long-term mindset and interest in building trust over time.
  • Experience with AI-powered workflow automation tools such as Make, Zapier, n8n, or equivalent (preferred).
  • Experience supporting C-suite or senior leadership in a remote environment (preferred).
  • Familiarity with project management tools such as ClickUp, Asana, Trello, or Monday.com (preferred).
  • Basic bookkeeping or invoice processing experience with QuickBooks or Xero (preferred).
  • Experience with market research and competitor analysis (preferred).
