Description

  • Manage calendars, schedule meetings, coordinate calls, and handle inbox and meeting follow-up.
  • Draft and send emails, memos, documents, and other correspondence.
  • Prepare meeting notes, status updates, reports, summaries, and presentations.
  • Enter, update, and maintain records in spreadsheets, CRMs, and project systems.
  • Organize and manage digital files in Google Drive, Dropbox, or SharePoint.
  • Conduct online research on competitors, vendors, and market information and compile findings.
  • Support small projects, ad hoc requests, and task execution across multiple priorities.
  • Assist with customer inquiries, vendor communications, and follow-ups on outstanding items.
  • Help with invoicing, expense tracking, light bookkeeping, and project plan updates.
  • Maintain task management systems and keep priorities, deadlines, and documentation current.

Requirements

  • 1–2 years of administrative or virtual assistant experience.
  • Proficiency in Microsoft Office and Google Workspace.
  • Strong time management and organizational skills.
  • Strong written and verbal communication skills.
  • Reliable internet connection and the ability to work independently.
  • Comfortable learning and using new tools quickly.
  • Discreet, reliable, and proactive in anticipating needs.
  • Experience with CRMs such as HubSpot, Salesforce, or Zoho is preferred.
  • Experience with project management tools such as Asana, Trello, Notion, or Monday.com is preferred.
  • Familiarity with invoicing, bookkeeping, or light finance support tools such as QuickBooks or Xero is preferred.
