Description

  • Support leadership with day-to-day operational priorities and special projects.
  • Manage administrative, operational, and coordination tasks across the business.
  • Track action items, follow up across departments, and ensure deadlines are met.
  • Take ownership of assigned projects from start to finish and resolve obstacles proactively.
  • Collect, organize, analyze, and report on operational and client-related data.
  • Build and maintain spreadsheets, reports, and KPI tracking tools.
  • Assist with content creation, newsletters, LinkedIn posts, presentations, and marketing materials.
  • Coordinate vendor agreements, contract follow-ups, client requests, and billing reviews.
  • Support onboarding, employee records, PTO tracking, and other people operations tasks.
  • Coordinate travel, events, shipments, logistics, and internal support activities.

Requirements

  • Previous experience in operations, executive assistance, project coordination, administration, or a related role.
  • Excellent written and verbal English communication skills.
  • Strong organizational, multitasking, and attention-to-detail skills.
  • Experience working in a remote environment.
  • Ability to manage shifting priorities and deadlines.
  • Strong problem-solving and critical-thinking skills.
  • High level of professionalism and discretion.
  • Proficiency with Google Workspace and productivity tools.
  • Reliable internet connection and a dedicated home office setup.
  • Preferred experience supporting executives, founders, or leadership teams.
  • Preferred experience in startups or entrepreneurial environments.
  • Preferred experience with AI tools such as ChatGPT or Claude.
  • Preferred experience with Canva, presentations, and content creation.
  • Preferred experience with reporting, spreadsheet analysis, marketing coordination, HR/people operations, and SOP creation.
