Description

  • Manage complex executive calendars across multiple time zones and resolve scheduling conflicts proactively.
  • Coordinate internal meetings, client calls, events, and travel schedules.
  • Draft, proofread, and send professional emails and memos, and screen inboxes, calls, and requests.
  • Act as a liaison between executives, clients, vendors, and internal teams.
  • Prepare agendas, briefing notes, talking points, and meeting materials.
  • Record meeting notes and action items, and track follow-ups through completion.
  • Coordinate domestic and international travel, including flights, hotels, transportation, itineraries, and schedule changes.
  • Process expense reports and reimbursements accurately.
  • Track executive priorities, projects, and deliverables, and follow up to keep work on track.
  • Maintain organized digital files, document versions, approvals, shared files, and confidential records.

Requirements

  • 3+ years of experience supporting senior executives or leadership teams.
  • Experience managing complex calendars, travel coordination, and executive communications.
  • Proficiency with Google Workspace and Microsoft Office.
  • Strong written and verbal English communication skills.
  • Experience scheduling across multiple time zones.
  • Ability to handle confidential information professionally.
  • Experience supporting executives in startups, agencies, professional services, or high-growth companies is preferred.
  • Familiarity with Slack, Zoom, Notion, and Asana is preferred.
  • Experience supporting multiple executives simultaneously is preferred.
  • Exposure to operations or project coordination responsibilities is preferred.
