Description

  • Maintain day-to-day operational workflows to keep business operations running smoothly.
  • Support the Owner with administrative coordination and operational follow-through.
  • Monitor processes and proactively identify inefficiencies, risks, and workflow gaps.
  • Maintain and update CRM records, client information, scheduling details, and operational data.
  • Organize digital files and internal documentation across platforms such as Excel, OneDrive, CompanyCam, and related systems.
  • Process invoices accurately, follow up on outstanding payments, and maintain accounts receivable records.
  • Coordinate with accounting teams to keep billing, payroll, and financial documentation accurate.
  • Monitor crew schedules, assignments, job progress, attendance, and time entries using Aspire, Azuga, or similar systems.
  • Manage inbound leads and client communications, ensuring consistent follow-up and pipeline tracking.
  • Prepare operational reports, summaries, proposals, RFP responses, and other administrative updates.

Requirements

  • Full-time availability with the ability to work U.S. business hours, with EST required.
  • Proven experience in operations coordination, administrative support, invoicing, billing, or workflow management.
  • Experience working across multiple systems and platforms simultaneously.
  • High proficiency in Microsoft Office Suite, including Excel, Outlook, Word, Teams, and OneDrive.
  • Experience using CRM systems; Aspire experience is a plus but not required.
  • Strong written communication skills and professional email management abilities.
  • High attention to detail with the ability to identify discrepancies quickly.
  • Strong organizational, time-management, and multitasking abilities.
  • Experience in service-based, field operations, staffing, logistics, or construction-related businesses is preferred.
  • Familiarity with operational scheduling systems, payroll coordination, job costing, or crew management systems is preferred.
  • Experience supporting leadership directly in operational environments is preferred.
