Description

  • Manage calendars, scheduling, and operational coordination workflows.
  • Coordinate communication across leadership, clients, and internal teams.
  • Support documentation and compliance-sensitive workflows within ITAD operations.
  • Maintain accurate, complete, and properly stored records across systems.
  • Track client onboarding progress, internal updates, and process changes.
  • Identify inconsistencies in data, dates, scheduling, documentation, and operational details.
  • Validate names, records, numbers, and other details before execution.
  • Keep operational systems organized, searchable, accessible, and consistent.
  • Help prevent operational issues through proactive quality control and follow-through.
  • Support leadership communication and follow-ups to keep tasks moving without delays.

Requirements

  • 3+ years of experience in Executive Assistant, Administrative Assistant, Virtual Assistant, or operations support roles.
  • Strong experience with Google Workspace, Slack, and CRM systems such as Salesforce or similar.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal English communication skills.
  • Ability to work independently, solve problems proactively, and manage multiple priorities accurately.
  • High level of professionalism and confidentiality.
  • Structured, process-oriented mindset with strong operational organization.
  • Experience in compliance-heavy industries, ITAD environments, or operations-focused businesses is preferred.
  • Experience supporting founders or leadership teams is preferred.
  • Familiarity with audit preparation, compliance workflows, onboarding coordination, or operational tracking systems is preferred.
