Description

  • Create and update client profiles and administrative records in Visual Care.
  • Upload documentation, manage digital signatures, and follow up on approvals and required paperwork.
  • Schedule and confirm client appointments and support worker services.
  • Manage changes, cancellations, rescheduling, and daily shift coverage checks.
  • Review and verify daily timesheets, including hours worked, travel, and shift details.
  • Process invoices, assist with claims submission, and track funding approvals and client budgets.
  • Support end-of-month financial processes and follow up on outstanding claims or missing documentation.
  • Summarise and prioritise incoming emails and manage communication with support workers, clients, and stakeholders.
  • Maintain accurate records, assist with audit preparation, and support compliance tracking.
  • Coordinate service updates and follow up on documentation, approvals, and signatures.

Requirements

  • Minimum 2–3 years of experience in a similar administrative or coordination role.
  • Strong administrative and scheduling experience.
  • Experience using CRM or care management systems, such as Visual Care.
  • Experience with VOIP communication tools, such as Dialpad.
  • Experience within the Australian aged care sector is highly advantageous.
  • Medical or healthcare background is highly desirable.
  • Excellent written English and communication skills.
  • Strong attention to detail and accuracy.
  • Advanced organisational and time management skills.
  • Ability to manage multiple tasks, prioritise effectively, and work independently.
