Description

  • Own the principal's task queue and proactively surface priorities without prompting.
  • Translate loosely communicated needs into clear, actionable items.
  • Track open loops, follow up on delegated tasks, and close the feedback loop.
  • Monitor Slack, WhatsApp, and Notion to triage requests and flag time-sensitive items.
  • Manage calendars across personal and professional contexts.
  • Coordinate flights, accommodations, reservations, and end-to-end travel logistics.
  • Anticipate and resolve scheduling conflicts before they escalate.
  • Review credit card statements, categorize expenses, and reconcile charges.
  • Flag irregularities for review and maintain clean financial records.
  • Prepare summaries, reports, and ad hoc administrative support as needed.

Requirements

  • 2 or more years supporting an executive, founder, or senior operator in a fast-paced environment.
  • Strong written and spoken English; primary communication is in English.
  • Proficiency with Slack, Notion, and WhatsApp as daily work tools.
  • Demonstrated ability to manage competing priorities and shifting timelines without losing track of details.
  • Comfort handling personal logistics alongside professional responsibilities.
  • Based in Colombia with the ability to meet in person in Medellin as needed.
  • Proactive accountability and high autonomy; able to extract priorities with minimal direction.
  • Experience supporting a founder or operator running multiple businesses simultaneously (preferred).
  • Familiarity with travel coordination including international flights and accommodation (preferred).
  • Basic comfort with expense tracking and financial admin workflows (preferred).
  • Conversational or better Spanish for local coordination (preferred).
