Description

  • Compile, verify, clean, and organize commercial and industrial property data from MLS, CoStar, Geowarehouse, and other proprietary databases.
  • Research and format market availability reports and comparable sales data for specific submarkets across the GTA and Southwestern Ontario.
  • Maintain accurate and well-structured HubSpot CRM records for contacts, companies, deals, notes, pipelines, and tasks.
  • Prepare broker opinion of value packages, property brochures, tour books, and other client presentation materials.
  • Insert photos, maps, floor plans, graphs, and market data into marketing templates using Microsoft Word, PowerPoint, Canva, and Adobe Acrobat.
  • Support listing coordination by updating and syndicating property listings across internal and external platforms.
  • Draft, format, and proofread letters, emails, letters of intent, proposals, and reports.
  • Manage document workflows and electronic signatures through AuthentiSign and file executed copies.
  • Assist with calendar management, meeting coordination, and follow-up tracking for brokers and executives.
  • Provide direct executive support to the COO and Partner, including scheduling, correspondence, reporting, project tracking, travel coordination, and expense support.

Requirements

  • Fluent English with professional-level reading, writing, and verbal communication.
  • Availability to work strictly during Eastern Time business hours, with a minimum overlap of 9 AM to 5 PM ET.
  • Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Demonstrated experience managing contacts, deals, tasks, pipelines, and email sequences in HubSpot CRM.
  • Familiarity with CoStar for property research, comparable sales, availability searches, and market analytics.
  • Strong understanding of commercial real estate concepts such as NOI, cap rate, NNN, gross lease, sublease, landlord/tenant representation, BOV, LOI, availability, and vacancy.
  • Ability to design and format documents with photos, graphs, maps, and structured templates with strong attention to layout and presentation.
  • Experience with AuthentiSign or DocuSign, or the ability to quickly learn e-signature tools.
  • Stable home office setup with fast hardwired internet, a modern computer, a quality headset, and a quiet professional workspace; backup internet or power supply is preferred.
  • Bonus consideration for familiarity with the GTA and Southwestern Ontario commercial real estate market.
