Description

  • Own and maintain the pursuit tracking system in Smartsheet, keeping deadlines, ownership, health status, and blocker notes current for all active pursuits.
  • Manage new pursuit intake by logging opportunities, confirming proposal due dates with Sales Owners, and ensuring a Pursuit Lead is assigned before technical work begins.
  • Run the weekly pursuit standup meeting, including preparation, agenda facilitation, live Smartsheet updates, and post-meeting summary distribution.
  • Monitor pursuit health across the active pipeline and escalate at-risk pursuits before deadlines are missed.
  • Track engineer and estimator capacity using the Smartsheet capacity view and flag overload conditions before new assignments are accepted.
  • Serve as the main communication bridge between the pre-sales team and Sales Owners, providing timely status updates and managing expectations on deliverables.
  • Maintain and improve pursuit coordination processes, tools, and templates to support a repeatable, scalable pre-sales operation.
  • Update closed pursuits promptly and perform monthly archive cleanup to keep the active pipeline view clean.
  • Support pipeline reporting and capacity data preparation for leadership reviews and board-level reporting as needed.

Requirements

  • Bachelor’s degree in business, Communications, Project Management, or a related field, or equivalent professional experience.
  • 2–5 years of experience in project coordination, sales operations, pre-sales support, or proposal management.
  • Ability to manage multiple concurrent deadlines across a fast-moving pipeline without losing track of details or ownership.
  • Proficiency in Smartsheet, including building and maintaining sheets, configuring automations, and creating reports and dashboards.
  • Strong communication skills and the ability to work effectively with technical engineers, estimators, and sales professionals.
  • Strong organizational skills and attention to detail, with the ability to maintain data accuracy across a high volume of active opportunities.
  • Strong interpersonal skills and the ability to build trust with both engineers and sales leaders.
  • Proficiency in Microsoft 365, including Teams, Outlook, and SharePoint; Salesforce CRM experience is a plus.
  • Familiarity with warehouse automation, material handling, or industrial pre-sales environments is preferred but not required.
  • PMP or CAPM certification is a plus but not required.
  • No travel required.
  • Ability to thrive in a fast-paced environment where priorities shift quickly.
