Description

  • Conduct weekly audits of Salesforce and Smartsheet to ensure project statuses, pipeline updates, and financial metrics are accurate and current.
  • Support the Systems Administrator with user onboarding, offboarding, permission provisioning, and credential management across core platforms.
  • Oversee Box folder structure, naming conventions, and document storage to align with company SOPs.
  • Coordinate with the Office Manager to request, collect, verify, and track Certificates of Insurance (COIs) from vendors and subcontractors.
  • Maintain a centralized system for monitoring insurance policy expiration dates and partner compliance.
  • Archive insurance-related documentation in Box and map it to corresponding records in NetSuite or Salesforce.
  • Serve as the internal point of contact for routine COI requests and coordinate with insurance brokers for new projects and contracts.
  • Build and configure new Smartsheet project workspaces, sheets, and dashboards using company templates.
  • Hold weekly syncs with Project Managers to validate that the Project Portfolio reflects real-time operational milestones.
  • Troubleshoot basic Smartsheet automations, formulas, and reporting structures for cross-functional stakeholders.
  • Maintain and organize the digital SOP library, training materials, and workflow diagrams.
  • Act as the first line of support for internal software inquiries and minor technical issues.
  • Assist with training sessions for new hires and draft step-by-step user guides for newly deployed software features.
  • Monitor AI tools and outputs to ensure meeting intelligence, transcripts, and automated summaries are accurately captured and categorized.
  • Participate in user acceptance testing for new AI agents, system integrations, and software patches before deployment.

Requirements

  • Associate’s or Bachelor’s degree in Business Administration, Information Technology, Operations, or a related field, or equivalent professional experience.
  • 1–2 years of experience in a professional office environment in data management, project coordination, or administrative support.
  • High digital literacy and the ability to learn new software quickly.
  • Exceptional attention to detail, especially for data accuracy and legal or insurance compliance documents.
  • Strong interpersonal and communication skills, including the ability to explain technical concepts to non-technical users and negotiate compliance requests with external vendors.
  • Direct hands-on experience with Smartsheet, including formulas and reports, or Salesforce.
  • Foundational understanding of NetSuite or similar ERP software.
  • Familiarity with risk management concepts, Certificates of Insurance (COIs), and commercial insurance terminology.
  • Experience building basic workflows with low-code automation tools like Zapier.
  • Primary internet connection of at least 15 Mbps and backup internet connection of at least 10 Mbps, with backup capability during a power outage.
  • Desktop or laptop with at least an Intel Core i5 8th gen or newer, Intel Core i3 10th gen or newer, AMD Ryzen 5, or equivalent, plus 8 GB RAM.
  • Backup device that meets or exceeds Intel Core i3 performance and can function during power interruptions.
  • Functioning webcam, noise-canceling USB headset, quiet dedicated home office space, and a smartphone for communication and verification.
