Description

  • Build, publish, and maintain daily and weekly caregiver and client schedules.
  • Fill open shifts quickly through calls, texts, and follow-ups with caregivers.
  • Match caregivers to visits based on skills, availability, location, client preferences, and pay rates.
  • Monitor call-outs, late arrivals, and no-shows, and arrange immediate coverage when needed.
  • Confirm new starts, schedule changes, and cancellations with clients and caregivers.
  • Update client and caregiver profiles, care plans, and visit notes in the scheduling system.
  • Track EVV and clock-ins, and resolve exceptions before billing and payroll cutoffs.
  • Coordinate with recruiters and team leads to forecast coverage needs.
  • Escalate missed visits, repeated call-outs, and client concerns early.
  • Provide end-of-day and end-of-week coverage reports and metrics.
  • Support after-hours or on-call coverage for urgent schedule changes when needed.

Requirements

  • 1+ year of scheduling, dispatch, coordination, or call center experience, preferably in home care, home health, or healthcare.
  • Strong English communication skills across phone, text, and email with a calm and helpful tone.
  • Fast and accurate data entry with excellent attention to detail.
  • Ability to manage many moving parts and stay organized under time pressure.
  • Strong problem-solving ability and comfort acting quickly when plans change.
  • Basic understanding of HIPAA, privacy, and client confidentiality.
  • Comfortable working U.S. business hours and willing to work occasional evenings, weekends, or holidays as needed.
  • Experience with scheduling or EVV platforms such as WellSky (ClearCare), AxisCare, or AlayaCare is a plus.
  • Experience with phone and SMS tools such as RingCentral, Dialpad, JustCall, or Twilio is a plus.
  • Experience with Google Workspace or Microsoft 365, Slack or Teams, and spreadsheets is a plus.
  • Must have a laptop or desktop and reliable internet with at least 25 Mbps, with backup connectivity or power recommended.
  • Must have a quiet workspace and professional phone etiquette.
