Description

  • Coordinate patient appointments and manage provider schedules.
  • Conduct follow-up calls regarding appointments, care plans, and outstanding requirements.
  • Respond professionally to patient inquiries by phone and through other communication channels.
  • Verify patient insurance eligibility and benefits.
  • Process prior authorization requests and assist with medication refill requests.
  • Maintain accurate patient records and documentation in the EMR.
  • Provide front-end and back-end administrative support to the practice.
  • Collaborate with providers and clinical staff to support efficient patient care.
  • Use the ICANotes EMR system and other communication tools to manage daily patient coordination.
  • Support patient communications, appointment reminders, and operational initiatives as the practice grows.

Requirements

  • Previous experience in a healthcare or medical administrative setting is required.
  • Experience in roles such as Patient Care Coordinator, Medical Receptionist, Medical Administrative Assistant, Healthcare Virtual Assistant, Medical Office Assistant, or similar is required.
  • Strong understanding of healthcare workflows and patient coordination is required.
  • Knowledge of medical terminology and basic medical coding is required.
  • Experience with insurance verification, prior authorizations, appointment scheduling, and patient follow-up calls.
  • Excellent phone etiquette and strong verbal and written communication skills in English.
  • Fluency in English and Spanish or French is highly desirable.
  • Experience with ICANotes EMR, Ooma, Viber, and Microsoft Office Suite is preferred.
  • Must be able to work full-time, 40 hours per week, Monday to Friday, 8:00 AM to 5:00 PM Mountain Daylight Time.
  • Must provide an NBI Clearance and/or Local Police Clearance before onboarding and be available for video meetings with camera on when required.
